We are seeking an Operations Assistant/Receptionist who can apply their experience to expand our business by providing superior administrative support, customer service, and collaboration with team members. We are seeking a strong personality with a desire to get things accomplished and the ability to multitask.
Responsibilities
- Provide administrative support to the management team and others
- Involvement in all aspects of the business and must possess the ability to keep information confidential
- Involvement with dispatching consultants for client engagements
- Daily scheduling support and reporting analysis
- Perform research and prepare documentation for special projects
- Take minutes for meetings and track company initiatives across the organization
- Assist with company sponsored events (holiday parties, social events etc.)
- Maintain client database to ensure accuracy of information
- Coordinate and assemble materials for meetings
- Responsible for covering reception area and related duties such as managing incoming phone calls, meeting and greeting all visitors with a high degree of customer service satisfaction 2 days a week in the Woburn office to include: Manage Helpdesk calls and create trouble tickets within ConnectWise database as needed
- Facilitating any incoming or outgoing shipping
Requirements
- Bachelor’s Degree or equivalent with 5 to 10 years of experience.
- Ability to work independently and wear many hats in a team environment with a professional and diplomatic demeanor
- Successfully operate in a very fast paced, hectic professional services environment and interact effectively with all levels of the organization
- Must be focused with meticulous attention to details
- Strong interpersonal and communication skills
