 The Operations Administrative Assistant’s core responsibility is to coordinate the activities and schedules of our consulting teams and to provide support to the Operations team.  In this role, you will also provide administrative support to the CEO, VP of Technology and Director of Operations. We are looking for a reliable, self-motivated and enthusiastic individual with the ability to interact effectively and professionally with management, clients and colleagues.

 Responsibilities:

  • Provide administrative support to CEO, VP of Technology and Director of Operations
  • Dispatching consultants to client sites in our Boston, New York and Philadelphia offices under time constraints
    • Facilitate client and vendor relations and follow up as assigned
    • Assist with daily activities while providing support to the Operations team
  • Ability to communicate effectively as a liaison between consulting team and management team
    • Perform research, gather information, and prepare documentation for special projects
  • Coordinate materials and documentation for meetings
  • Daily scheduling support and reporting analysis
  • Time entry analysis and reporting
  • Capability to communicate with clients and assist in scheduling changes
  • Responsible for some back-up coverage of reception area and other related duties as assigned

Requirements:

  • A minimum of 2 years of professional experience
  • Reliable, self-motivated and enthusiastic individual with the ability to effectively multi-task and juggle shifting priorities
  • A high level of confidentiality will be required
  • Excellent written and verbal communication skills with the ability to interact effectively and professionally with management, clients and colleagues
  • Strong initiative, organizational abilities, attention to detail and accuracy; proactive
  • Excellent problem-solving and follow-through skills to meet tight deadlines and shifting priorities
  • Strong Microsoft Word, Outlook, Excel, PowerPoint and internet research skills are essential. Connectwise or related software experience a plus
  • Some understanding of IT documentation a plus
